Job Description

The Preclinical Veterinary Services Coordinator provides a wide variety of administrative support and organizational skills to the Laboratory Animal Resources department. Prepares and maintains paperwork, files, and schedules required by the department. Responsible for inter-departmental coordination for Laboratory Animal Resources’ activities. Responsible for ensuring appropriate animal groups are ready for each confirmed study, and for presenting the animal lists to study personnel prior to study acclimation. This position operates primarily under direct supervision of senior coordinators and the department supervisor.

Job Responsibilities:

•Provides general quality control on all departmental paperwork prior to filing or distribution to ensure GLP compliance
•Performs paperwork and electronic data collation, filing, and distribution to appropriate parties daily. To include but not be limited to physical exam (PE) lab results, Veterinary Services Request Record related lab work, viral results, etc.
•Facilitates paperwork transportation and manage transport procedures between all departmental offices and parties, ensuring that all parties receive paperwork when needed if generated or handled by the coordinator
•Prepares/collates/generates all necessary paperwork for review by the veterinarians
•Assists in maintaining the Master Veterinary Services schedule, including scheduling preventive medicine activities
•Coordinates dates with other involved departments for planned events, including but not limited to Project Management, Husbandry, Pharmacy, Clinical Pathology, Analytical Biology, Shipping, and Scientific Services, especially as it relates to animal health requirements for study eligibility, or sample collection, processing, shipping (when samples are sent to outside labs) and results receipt. Follows
up to ensure data or sample receipt and completes outside lab order forms where necessary
•Creates paperwork, labels and other hard data sheets needed for animal processing and other planned events
•Creates PE logs that contain the final selection of animals for specific studies, and deliver them to the appropriate Study Director for review and randomization
•Assembles PE information about animals being placed on study for Study Director or veterinarian review once selected, and replaces PE information when animals are replaced, or other information is updated.
•Communicates with other departments about animal status when necessary
•Arranges for meetings and meeting resources when needed
•Ensures accurate medical information is portrayed in the non-human primate (NHP) database, and performs data entry and filing
•Generates requisitions as needed
•Maintains and ensures completeness of files kept in the records room. Archives data as indicated by SOP
•Develops and compiles reports as required by management

Requirements:

•Requires a high school diploma or equivalent with at least at least 3 years of directly related experience. Bachelor’s degree is preferred.
•4 years of direct experience providing complex administrative support in a busy office setting Proficient in MS Office products to include Outlook, Excel, and Word.
•This position requires exceptional organizational capabilities, and strong detail-orientation and communication skills.
